1. Who we are

“Aether”, “we”, “us”, or “our” refers to the owners and operators of the Aether Discord bot and the accompanying website and services (the “Service”). This policy describes how we handle data when you use the bot, website, or support channels.

2. Scope

This policy applies to data processed through the Aether bot, our website, and related support systems. It does not cover third-party platforms such as Discord, payment processors, or hosting providers which are governed by their own policies.

3. What data we collect

Server data: guild IDs, channel IDs, role IDs, configuration settings, feature toggles, logs necessary for moderation and security features, ticket metadata (opener ID, timestamps, status).

User data (limited): user IDs, usernames, and data necessary to perform commands (e.g., warnings, mutes, ticket participants). We avoid storing message content unless required for a feature or abuse prevention.

Operational data: timestamps, event counts, error logs, and diagnostics required for reliability, abuse detection, and uptime monitoring.

Website data: standard HTTP logs (IP address, user agent, referrer), basic analytics, and cookies strictly necessary for function. We do not sell personal data.

Payment data: handled by third-party processors (e.g., PayPal, card processors). We do not store card PANs on our servers.

4. How we use data

Provide core features (moderation, logging, tickets, premium access, licensing).

Detect and prevent abuse (rate-limits, antinuke/antiraid, spam prevention).

Operate and improve reliability (debugging, performance, shard management).

Comply with legal obligations and enforce our Terms of Service.

Communicate with you about service updates, billing, or support requests.

5. Legal bases

Where applicable (e.g., GDPR), we rely on: performance of a contract (providing the Service), legitimate interests (security, reliability, preventing abuse), legal obligations, and consent where explicitly required (e.g., optional cookies or marketing emails).

6. Retention

We retain data only as long as necessary for the purposes above. Typical retention windows:

Configuration and licensing data: retained while the server uses Aether or until deletion is requested.

Moderation logs: retained per server configuration or a reasonable period for audit and abuse prevention.

Diagnostic logs: typically 30–180 days unless required longer for security or legal reasons.

7. Sharing and processors

We use trusted sub-processors (hosting, databases, monitoring, payment providers). We require data protection commitments where applicable. We do not sell personal data. We may disclose limited data if required by law or to prevent harm.

8. International transfers

Data may be processed in multiple regions. Where required, we rely on standard contractual clauses or equivalent safeguards for cross-border transfers.

9. Your rights

Depending on your jurisdiction, you may have rights to access, correct, delete, restrict, or object to processing, and to data portability. To exercise these rights, open a support ticket and provide your Discord ID. We will verify and respond within a reasonable timeframe.

10. Cookies and analytics

Our website may use strictly necessary cookies and minimal analytics. You can control cookies in your browser settings. If we introduce optional cookies, we will provide consent controls.

11. Children’s privacy

Our Service is intended for users who meet Discord’s minimum age requirements in their region. We do not knowingly collect personal data from children under the applicable age threshold.

12. Security

We implement administrative, technical, and physical safeguards including access controls, role isolation, least-privilege practices, monitoring, and secure hosting. No system is perfectly secure; report issues via ticket.

13. Data deletion

Server owners can request deletion of stored server configuration and related data. Deletion may disable features. To request deletion, open a ticket with your server ID and authorization proof.

14. Contact

Privacy requests: open a ticket in the support server or email pay@aether.bot. For faster handling, include your server ID, user ID, and a clear description of the request.

15. Changes to this policy

We may update this policy as our Service evolves. Material changes will be highlighted on this page. Continued use after changes constitutes acceptance.

16. Jurisdiction-specific disclosures

Where local law grants additional rights or imposes additional obligations (e.g., GDPR, CCPA/CPRA), we will honor those to the extent applicable. If you are a data subject in the EEA or UK, our lawful bases and transfer safeguards apply as described above. If you are a California resident, we do not sell personal information as defined by the CCPA/CPRA.
